Dear ###
We write further to your request which was received on 4 March 2020 and which states:
"I request the minutes to the Promenade Strategic Project Board meeting which took place at 10.15am on 14th February 2020 at the Sea Terminal, Douglas"
While our aim is to provide information whenever possible, under section 20 of the Act,
we are not required to provide information in response to a request if it is already
reasonably accessible to you, whether free of charge or on payment of a fee.
In addition, under section 41 of the Act, we are not required to provide information
which is held with a view to being published at a future date and where it is
reasonable that the information be withheld until that date.
All minutes of the Promenade Strategic Project Board meetings are routinely published
on the MyProm webpage at the link below.
We should point out that the minutes of each meeting are not published until they
have been discussed at the next meeting. Therefore the minutes of the February
meeting will be reviewed at the meeting on 11th March. Time should then be allowed
for any corrections to be made and for the minutes to be passed for signature. The
final step is the redaction of any third party personal data (including the signature)
following which they go to the Web Design team to be published. For that reason, it
may be a week or slightly more after each meeting before the minutes of the previous
meeting appear on the website.
